I needed to create a Word-based record of emails I had sent during a particular project. I didn't need my Inbox, Drafts, Spam, or other Gmail folders. Initially, I thought I would have to search the Sent folder, select the messages one by one, and save them individually.
That approach was fine when I tested it with a few emails, but it wasn't realistic for a large collection.
I looked at RecoveryTools Gmail to Word Converter Tool and found that its selective export settings include an Only Export Sent Folder option. The Gmail backup workflow also allows users to select the folders they want to process instead of automatically working with the entire mailbox.
I used the folder selection to focus on the Sent folder and then applied the other filters I needed. For example, if I wanted messages from a particular period, I could combine the folder selection with a date range. The filter panel also provides options for sender, recipient, subject, keywords, excluded folders, and attachments.
After narrowing down the emails, I selected the Word output option and specified where I wanted the files saved.
This saved me from manually opening every sent message and transferring its contents into Word. More importantly, I could define the scope of the export before starting rather than sorting through a large collection afterward.
My requirement was quite specific: Sent emails + particular project period + Word output. Using folder selection and filters together made more sense than converting the entire Gmail account.
For anyone who only needs one Gmail folder or a specific subset of emails, I'd first check the folder-selection and filter options rather than processing the whole mailbox.
