For large or frequently backed-up mailboxes, I would avoid creating a complete backup every time. Using a specific date range or selecting only required folders can help reduce duplicate data and unnecessary storage usage.

It is also useful to check whether the backup method preserves attachments and supports commonly used export formats. If the built-in options are not flexible enough, a dedicated Microsoft 365 backup tool may provide additional filtering options.

For example, SysInfo Office 365 Backup Tool provides date and folder-based filtering, which can be useful when creating selective backups instead of repeatedly exporting the entire mailbox.

I would recommend testing the process with a small mailbox first and verifying the exported data before applying the same workflow to a larger environment.
